Privacy Policy

BillMate ("we", "our") is a cloud billing software operated from Chennai, Tamil Nadu, India. This policy explains what we collect, what we do with it, and your rights.
1. What we collect
- Your name, email, phone number, and shop name (from the signup form)
- Shop details: GSTIN (optional), city, shop type
- Billing data you enter: products, customers, bills, payments
- Technical logs: IP address, browser, app version (for security + debugging)
2. How we use it
- To provide the service you signed up for (billing, reports, sync)
- To send service notifications (trial reminders, payment receipts) via WhatsApp + email
- To improve the product — analysing anonymised usage patterns only
- To comply with Indian tax + GST law when required
3. Who we share with
We share the minimum necessary data with:
- Razorpay — subscription billing. They see name, email, phone, and payment details. They do not see your bill / product data.
- 360dialog WhatsApp API — sending WhatsApp messages. They see only the message content and recipient phone.
- Amazon Web Services (AWS, Mumbai region) — where your data is hosted. AWS does not access your data.
- Anthropic (Claude API, SCALE plan only) — aggregated shop data is sent for AI insights. No customer PII is included.
We do not sell your data. We do not use it for advertising.
4. Data security
- All data encrypted in transit (HTTPS/TLS 1.2+)
- Database encrypted at rest (AES-256 on AWS RDS)
- Daily encrypted backups to AWS S3
- Passwords and PINs are bcrypt-hashed — we never see them in plain text
- Access to production data is restricted to named engineers with 2FA
5. Data retention
While your account is active, your data is retained indefinitely. If you cancel, we keep the data for 90 days (so you can resume later) then permanently delete it. Aggregated analytics (with no personal identifiers) may be retained longer for product research.
6. Your rights
You can, at any time:
- Access all the data we hold about you (export from Settings)
- Correct any inaccurate data (update from Settings)
- Delete your account and all associated data
- Withdraw consent for non-essential WhatsApp messages
